Booking system development.
Availability, deposits and reminders — without double-booking anyone.
Booking looks simple until you write the availability logic. Two people opening the same slot at the same moment. A staff member who works alternate Saturdays. A treatment that needs a room and a machine and forty minutes of cleaning afterwards. Buffer time, lead time, timezone handling for remote clients. That logic is the entire product, and it is where off-the-shelf booking tools usually stop fitting.
What’s included
- Real-time availability with atomic slot reservation
- Staff, room and equipment scheduling with resource conflicts
- Buffer, setup and travel time between bookings
- Deposits and prepayment to cut no-shows
- Automated email and SMS reminders
- Cancellation and rescheduling rules you control
- Two-way calendar sync with Google and Outlook
Preventing the double-booking
Two customers loading the same slot and both clicking confirm is not rare — it is the normal case at any volume. Preventing it means reserving the slot atomically at the database level rather than checking availability and then writing, which is the race condition most simple implementations contain.
Availability rules are where the complexity lives
Opening hours, individual staff schedules, holidays, seasonal changes, per-service durations, resources that can only serve one booking at a time. Every business has its own combination. I model these as explicit rules rather than hard-coding, so changing them later does not require a developer.
Common questions
Can it handle multiple staff and locations?
Yes. Multi-staff, multi-location and multi-resource scheduling are standard, including staff who work across locations.
Can we take deposits?
Yes, and it is the single most effective way to reduce no-shows. Full prepayment, partial deposit or card-on-file with a cancellation charge.
Does it sync with our existing calendar?
Yes, two-way with Google Calendar and Outlook, so staff see bookings where they already look.
